Privacy Policy
Rezidly, Inc. ("Rezidly," "we," "us," or "our") operates the Rezidly platform and related websites, mobile applications, and services (collectively, the "Services"). This Privacy Policy describes how we collect, use, disclose, and protect information when you visit our marketing sites, create an account, or use our products — including Residential Management Service (RMS) and Borrower Verification Service (BVS).
By using the Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
1. Information we collect
Information you provide
- Account and profile data: name, email address, phone number, password (stored in hashed form), organization name, role, and preferences.
- Property and operations data (RMS): property addresses, unit details, maintenance requests, work orders, vendor communications, invoices, and payment-related information you submit through the platform.
- Borrower and lending data (BVS): loan application information, identity documents, income and employment details, asset statements, and other information required for verification workflows — typically provided by borrowers with consent or by authorized loan officers on their behalf.
- Communications: messages you send to support, feedback, and survey responses.
Information collected automatically
- Device and usage data: IP address, browser type, operating system, pages viewed, referring URLs, timestamps, and interaction logs.
- Cookies and similar technologies: we use cookies and local storage (for example, theme preferences) to operate and improve the Services. See Section 8.
Information from third parties
With your authorization or as permitted by law, we may receive information from service providers such as identity verification vendors, credit reporting agencies, payroll and income verification providers, banking aggregators, background check providers, and property or listing data sources. Our customers may also upload data about their tenants, vendors, or borrowers.
2. How we use information
We use personal information to:
- Provide, maintain, and improve the Services;
- Authenticate users and enforce security controls;
- Process maintenance procurement, rent collection, and property operations workflows;
- Facilitate borrower verification, document collection, and lender review dashboards;
- Operate human-in-the-loop AI features that draft or suggest actions subject to your approval;
- Send transactional notices, product updates, and support communications;
- Comply with legal obligations and respond to lawful requests;
- Detect, prevent, and address fraud, abuse, and security incidents;
- Analyze aggregated or de-identified usage to improve reliability and performance.
3. Legal bases (where applicable)
If you are located in the European Economic Area, United Kingdom, or similar jurisdictions, we process personal data based on contract performance, legitimate interests (such as securing our Services), compliance with legal obligations, and consent where required (for example, certain marketing or optional cookies).
4. How we share information
We may share information with:
- Your organization: administrators and authorized users within your account can access data submitted under that account.
- Service providers: hosting, analytics, email, payment processing, document storage, AI inference, and verification partners who process data on our instructions under contractual safeguards.
- Business partners you direct: vendors, property managers, lenders, or loan officers when you initiate a workflow that requires sharing.
- Legal and safety: regulators, courts, or law enforcement when required by law or to protect rights, safety, and integrity of the Services.
- Corporate transactions: acquirers or successors in a merger, acquisition, or asset sale, subject to this Policy or notice to you.
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as defined under the California Consumer Privacy Act (CCPA), as amended.
5. Sensitive and regulated data
The Services may process sensitive categories of data, including financial account information, government identifiers, credit-related data, and housing or employment records. We apply access controls, encryption in transit, and organizational measures appropriate to the sensitivity of the data. Where we act as a service provider to a business customer, we process personal information on their instructions and applicable data processing agreements.
Credit and consumer report data obtained through BVS is used only for permissible purposes under the Fair Credit Reporting Act (FCRA) and related laws, as directed by the customer who orders the report. Rezidly is not a consumer reporting agency unless expressly stated in a separate agreement.
6. Data retention
We retain personal information for as long as needed to provide the Services, fulfill contractual obligations, resolve disputes, enforce agreements, and comply with legal retention requirements. Retention periods may vary by data type and customer configuration.
7. Security
We implement administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure; you are responsible for safeguarding your account credentials and notifying us promptly of any suspected unauthorized access.
8. Cookies and analytics
We use essential cookies to operate the Services (for example, session and security cookies) and functional cookies (for example, theme preference). We may use analytics tools to understand how visitors use our marketing pages. You can control cookies through your browser settings; disabling certain cookies may affect functionality.
9. Your rights and choices
Depending on your location, you may have the right to:
- Access, correct, or delete personal information we hold about you;
- Object to or restrict certain processing;
- Port data you provided in a structured, machine-readable format;
- Withdraw consent where processing is consent-based;
- Opt out of marketing emails via the unsubscribe link in those messages.
California residents may have additional rights under the CCPA/CPRA, including the right to know, delete, correct, and limit use of sensitive personal information. To exercise rights, email privacy@rezidly.com. We may verify your request before responding.
If we process your data on behalf of an organization (for example, your employer or lender), please contact that organization first; we will assist them as required.
10. International transfers
We may process and store information in the United States and other countries where we or our service providers operate. When we transfer personal data internationally, we use appropriate safeguards such as standard contractual clauses where required.
11. Children
The Services are not directed to individuals under 18. We do not knowingly collect personal information from children. Contact us if you believe we have collected such information.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version with an updated "Last updated" date and, where required, provide additional notice. Continued use after changes constitutes acceptance of the updated Policy.
